Digital record system with Moodle integration

Logbook is an effective, transparent, and safe digital solution for tracking students’ mandatory practical assignments and attendance.

The client and the industry

Due to quality assurance compliance, the University of Veterinary Medicine needed a more efficient solution for recording students’ mandatory practical assignments. In accordance with central regulations, the students have to fulfill certain practical assignments to complete given courses, but not every student and not all course occasions are involved in this rule. The relevant documentation was previously done on paper. However, this method resulted in several problems: the documents were often lost, the students did not always take the paper with them, so the lecturer could not confirm completion of the course. Furthermore, tracking was also difficult, and it was not clear which obligation remained unfulfilled, by whom. The lecture presence and absence records were also paper based. Logbook has been developed to eliminate these problems.

The digital record system’s goal

To support and make teachers’ and students’ work easier, we have digitized and automatized the out-of-date, paper based, impracticable and untraceable system. Integration of Moodle prevents the system from double administration and ensures rapid implementation, thereby reducing implementation costs.

Logbook is a mobile and web-based application that works in integration with the Moodle system, thereby automatically identifying registered lecturers and students. The system synchronizes courses and tasks from Moodle, so students can clearly see what they have to do. When completing a task, the student can verify performance by scanning a locally generated QR code, that is to be approved by the lecturer. The system then automatically synchronizes the data in Moodle, allowing easy and transparent tracking.

Operation of the Record of attendance is based on the same principle. Logbook minimizes attendance-related abuse, as students must be present in person so that the lecturer can verify their presence by scanning their locally generated, unique and short-term QR code.

The digital record system and challenges

The biggest challenge was to design a system that prevents QR code misuse. In this way, we created an “intelligent” QR code that is unique for a given occasion, cannot be copied, and thus ensures that students cannot share it with each other. By making QR code scanning quick and easy we managed to make the system usage as convenient as possible.

Another challenge was dealing with internet connection issues. To solve the problem, our system is able to store data offline and to synchronize later. During the technical development, we paid special attention to making Logbook easy to use for all ages.

Digital record system solution and results

The possibility of attendance fraud can be reduced successfully by introducing Logbook, and at the same time the tracking of compulsory tasks becomes easier and more transparent. We have also minimized administrative and material costs by creating a digital solution that can be seamlessly integrated into existing educational systems.
